3. AI Processing
job-bot.ai uses artificial intelligence and machine learning to power core features of our service. This includes:
- Resume parsing and structured data extraction using large language models
- Job-to-candidate matching based on skills, experience, and stated preferences
- Automated application drafting and cover letter generation
- Career intelligence analysis and salary benchmarking
We use third-party AI service providers including OpenAI to process certain data. Your inputs may be sent to these providers solely to deliver the requested functionality. We do not permit these providers to use your data to train their general models. All AI processing is governed by our agreements with those providers and this Privacy Policy.
Redaction Before AI Processing
Before sending your resume or profile data to a third-party AI provider, we apply automated redaction to remove direct identifiers — including your name, email address, phone number, mailing address, and other contact information — and replace them with neutral placeholders. The provider receives the redacted text; we re-attach your real details locally before showing the result back to you.
Limitations. Automated redaction is not perfect. Items such as the names of companies you've worked for, schools you've attended, and personal names that don't match the patterns our redactor was tuned on (in particular, many non-Western names) may occasionally pass through unredacted. Treat any data you send to job-bot.ai as if it could be processed by an AI provider in identifiable form. If you have specific concerns about content in your profile, you can edit or remove it before initiating an AI-powered feature.
Automated decisions made by our AI (such as job match scores) are advisory in nature. You are never subject to legally significant decisions based solely on automated processing without human review.
4. Data Sharing
We do not sell your personal data. We share your information only in the following limited circumstances:
Service Providers
We work with trusted third-party vendors who process data on our behalf, including cloud hosting providers, payment processors, email delivery services, and analytics platforms. These providers are contractually required to protect your data and may not use it for their own purposes.
AI Partners
Certain features require sending data to AI providers (e.g., OpenAI) for processing. Data is transmitted securely, redacted of direct identifiers before transmission where feasible (see Section 3), and is not used to train third-party models.
Legal Requirements
We may disclose your information if required by law, court order, or government authority, or when necessary to protect the rights, safety, or property of job-bot.ai or others.
Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you before your data is subject to a materially different privacy policy.
6. Data Retention
We retain your personal information for as long as necessary to provide our services and fulfill the purposes described in this policy, unless a longer retention period is required by law.
- Account data is retained for the duration of your account and for a reasonable period after deletion to comply with legal obligations
- Newsletter subscription data is retained until you unsubscribe
- Usage and analytics data may be retained in aggregated, anonymized form indefinitely
- Data shared with AI providers is subject to their respective retention policies
You may request deletion of your data at any time. See Section 7 for how to exercise this right.
